What this guide does
This walks you through creating an Outlook rule in Outlook on the web (outlook.com / Microsoft 365). Rules created there run server-side, so emails are forwarded even when your computer is off. It's useful when:
- Your co-parent prefers their regular email over installing a new app.
- Professional contacts (lawyers, mediators, therapists) communicate by email.
- You want all co-parenting messages — and only those — in one place.
Step-by-step
Open Outlook rules
- Open Outlook on the web (outlook.com or your Microsoft 365 account).
- Click the gear icon (Settings) in the top right.
- Click "View all Outlook settings" at the bottom.
- Navigate to Mail → Rules.
Create a new rule
- Click "Add new rule".
- In the Name field, enter "Forward to Coparency".
- Under "Add a condition", select "From".
- Enter each of your co-parent's email addresses. Outlook lets you add multiple addresses to the same condition.
Tip: Coparency lists every contact email inside the app — open your co-parent's Contact to copy each address.
Set up the forwarding action
Under "Add an action":
- Select "Forward to" and enter your Coparency inbox address.
- Optional: Click "Add another action" and select "Move to" → choose or create a "Coparency" folder to keep your inbox organized.
Save the rule
- Click "Save" to create the rule.
- Make sure the rule is toggled on in the rules list.
If you have other rules, consider checking "Stop processing more rules" so other rules don't move or delete these emails before this one runs.
Test the setup
- Ask your co-parent (or a friend) to send you a test email.
- Confirm it arrives in your Outlook inbox (or the "Coparency" folder if you created one).
- Open Coparency and verify the message appears in your inbox.
Once verified, every matching email will appear in both Outlook and Coparency from now on.
Need help?
Rule not working? Check that the rule is toggled on under Settings → Mail → Rules. Verify each email address in the "From" condition matches exactly.
Using desktop Outlook? This guide covers Outlook on the web — desktop Outlook has a similar but slightly different rules interface (Home tab → Rules, or File → Manage Rules & Alerts).
Adding more contacts later? Settings → Mail → Rules, click "Forward to Coparency", and add the new email addresses to the "From" condition.
