Privacy policy

Coparency (“Coparency,” “we,” “our,” or “us”) is a co-parenting app for messaging, calendars, shared expenses and children's information. This policy explains what we collect, how we use it, who can see it, and the choices you have. It covers our mobile apps, the web app at my.coparency.com, our website at coparency.com, and the emails we send (together, the “Services”).
The short version
- We don't sell your information, and there are no ads in the app.
- A message can't be edited or deleted by anyone once it's sent, including us. That is what makes the record trustworthy for both parents, and it is why messages you sent stay in the shared record even if you delete your account.
- Our Peacekeeper AI features process message content using Google Gemini and OpenAI. Neither provider is allowed to train its models on your messages.
- Our staff don't read your messages unless you ask us for help, we need to investigate abuse or a security problem, or the law requires it.
- You can delete your account in the app at any time. Section 9 explains exactly what is deleted and what stays.
1. Who this policy covers
This policy applies to information about:
- Coparency users — parents, and the professionals and family members they invite.
- People who don't have an account — for example a co-parent who has been invited but hasn't joined, a co-parent who communicates with a user through our email bridge, or a doctor or teacher a parent adds to a child's profile. See section 5.
- Visitors to our website.
2. Information we collect
2.1 Your account
- Your name, email address and, if you add them, phone number, time zone, gender and date of birth.
- How you sign in: email and password, Google or Apple. Sign-in is handled by Google Firebase Authentication. We never see or store your password.
- A profile photo, if you upload one.
- Your settings, including notification and Peacekeeper preferences.
2.2 What you and your co-parent put into Coparency
- Messages, including attachments and read receipts.
- Calendar events, parenting schedules, holiday arrangements, handover times and swap requests.
- Exchange records: check-ins at an exchange, how an exchange went (for example on time or late), missed parenting time, and any notes you add.
- Expenses, receipts, payment status and how costs are split.
- Photos and documents you share.
- Message history you import from another service (for example an OurFamilyWizard export or an email archive). Text in imported PDFs may be read with Google Cloud Vision.
2.3 Information about your children
Parents can record information about their children, and some of it is sensitive: name, date of birth, gender, photo, clothing sizes, medical details (such as allergies, medications, conditions and blood type), school details (such as teacher, class and student ID), insurance policy numbers, documents, notes, and contact details for the people in a child's life. We use it only to show it to the people in that child's family on Coparency (section 4). Children don't have Coparency accounts; see section 10.
2.4 Billing
Paid plans are sold through Stripe on the web, and through the Apple App Store and Google Play in our apps, with RevenueCat keeping app-store subscriptions in sync. We receive your plan, its status and renewal dates, and for Stripe the card brand and last four digits so we can show them to you. We never receive or store your full card number.
2.5 Device and usage information
- The IP address, browser or device, and app version each time you sign in, kept as a sign-in history for security.
- A push-notification token for each device you use.
- A record of important actions in your family's space (for example who created an expense or changed a schedule), with the IP address and device they came from.
- How you use the app, through Google Analytics for Firebase, linked to your account ID (section 7).
- If you arrived from an ad or a campaign: the campaign details, the page you landed on, and the Google Ads click ID, stored with your account when you sign up.
Location. We collect your phone's location only when you check in at an exchange in the Coparency mobile app and have allowed location access: the location at that moment and how accurate it is, saved with the check-in. We never collect location in the background or at any other time. You can turn location off for Coparency in your phone's settings and still check in, without a location.
2.6 When you contact us
Feedback you send from the app, support emails and anything you choose to include in them.
3. How we use information
- To run the Services: deliver messages, show shared calendars and expenses, and keep the record.
- To power Peacekeeper, our AI features (section 3.1).
- To send notifications. Push notifications and emails about new messages include a short preview of the message, which passes through Apple, Google or our email provider to reach you. You can choose which kinds of notification you get in Settings.
- To keep accounts secure and to detect and investigate abuse.
- To answer support requests.
- To understand how the Services are used and improve them.
- To send you emails about getting started and product updates. You can unsubscribe from these at any time with the link in each email. We record whether they are opened and which links are clicked. Emails that carry a message from your co-parent are never link-tracked.
- To measure whether our advertising works (section 7).
- To meet legal obligations and respond to lawful requests (section 8).
3.1 Peacekeeper AI
Peacekeeper helps keep co-parenting communication calm. It checks the tone of a message before you send it and suggests calmer wording, flags harmful content in messages you receive when you turn that protection on, summarises long threads, highlights messages that need a reply, and writes private weekly reflections for you.
- What is processed: the text of every message sent in Coparency, along with recent messages in the same thread for context. That includes messages that arrive by email from a co-parent who uses our email bridge, and message history you import. So that feedback refers to the right people and days, each request also includes the children's first names and ages, both parents' names, and when the message was written.
- Who processes it: Google (Gemini models) for tone checks, protection, summaries and reflections, and OpenAI for search indexing (embeddings). Both act as our service providers under terms that don't allow them to use your content to train their models. They may keep content for a limited time to detect abuse of their services.
- What we store: the results (tone assessments, summaries, reflections and search indexes) are stored with the messages they describe.
- Your choices: you can turn off harmful-content protection and weekly reflections in Settings. Tone checking, summaries and search indexing run on all messages, because they are part of how the Services work.
Your reflections are private to you. The other parent never sees them.
4. Who can see your information in Coparency
- Your co-parent sees the messages, calendar, expenses, children's profiles and shared photos and documents in the space you share. They also see the exchange records you make, including a check-in's location, unless you mark a record private. Private records are only visible to you.
- Professionals you or your co-parent invite (for example an attorney, mediator or therapist) see what their invitation allows. You can remove them at any time.
- Family and support contacts you invite see a limited view. They don't see expenses, exports, shared photos or children's profiles.
- Calendar feed links. If you subscribe to your Coparency calendar from another calendar app, the feed is reached by a private link that doesn't need a login. Anyone who has the link can see that calendar, so treat it like a password. You can switch it off or replace it in Settings.
- Exports. Either parent, and any professional in your space, can export the shared record: messages, the calendar (including who had the children each day, swap requests, shared exchange records and a log of calendar changes) and expenses, as PDFs, or expenses as a spreadsheet. We keep a record of who created and downloaded each export. Once downloaded, the file is theirs to share, for example with a lawyer or a court.
Photos and files are stored privately and are only served through links that expire within hours.
5. If you don't have a Coparency account
We may hold information about you because a Coparency user gave it to us:
- Invitations. If a user invites you, we store your name and email address and send you the invitation and up to two reminders.
- Email bridge. If you exchange emails with a Coparency user through their Coparency email address, your emails, including attachments, become messages in their Coparency record, are processed by Peacekeeper like any other message, and can be exported by that user.
- Contacts. Parents can add details for people in their children's lives, such as doctors, teachers and caregivers.
To ask what we hold about you, or to ask us to delete it, email support@coparency.com. Messages you sent to a co-parent are part of their record, so we handle requests about them as described in section 9.
6. Service providers
We share information with these companies only so they can provide services to us, and they may use it only for that purpose:
- Google Cloud — hosting, database, file storage, background processing, and reading text in imported PDFs.
- Google Firebase — sign-in, push notifications, and app analytics.
- Google (Gemini) and OpenAI — Peacekeeper AI (section 3.1).
- Twilio SendGrid — sending and receiving email, including email-bridge messages.
- Stripe, Apple, Google Play and RevenueCat — payments and subscriptions.
- Apple and Google — sign-in with Apple and Google, and delivering push notifications.
- Vercel — hosting our website and measuring visits to some of its pages.
- Formspree — delivering messages sent through the contact form on our website.
7. Analytics and advertising
There are no ads in Coparency, and we don't sell your personal information. We advertise Coparency on Google, and to see whether that advertising works:
- Our website uses Google Analytics and Google Ads cookies. Visitors from the European Economic Area, the UK and Switzerland are asked for consent before these cookies are used; elsewhere they are on unless you decline in the cookie notice. Your choice is remembered on that device.
- Our apps use Google Analytics for Firebase, linked to your account ID, and tell Google when an account is created so we can see which ads led to sign-ups.
Under some US state laws, using advertising cookies this way can count as “sharing” personal information. You can opt out by declining cookies on our website, or by emailing us. We don't currently respond to browser Do-Not-Track signals.
8. Legal requests and safety
We disclose information when we believe in good faith that the law requires it, for example in response to a valid subpoena or court order, and when needed to protect someone from serious harm or to protect our Services. Where the law allows, we tell the affected user before disclosing. Because either parent can export their own record, we usually direct requests in family-law matters to the parties themselves.
If Coparency is ever sold or merged, your information would move to the new owner, which would remain bound by this policy until it tells you otherwise.
9. How long we keep information, and deleting your account
We keep your information while your account is open. You can delete your account in the app under Settings.
What deleting your account removes
- Your name, email, phone number, photo and other profile details. Your account is shown as a deleted user.
- Your sign-in method, sign-in history and push-notification tokens.
- How you found Coparency (campaign and ad-click details).
- Your private folders, bookmarks and read state.
- Your calendar feed links and private calendar subscriptions.
- Your Peacekeeper reflections.
- Exchange records you marked private.
- Your email history with us.
What stays
Coparency is a shared record between parents, and one parent can't remove it from the other. When you delete your account, the messages you sent, and the calendar entries, shared exchange records, expenses and children's information you added, stay available to the others in your co-parenting space, under your name, so their record stays complete. The Peacekeeper results for those messages are kept with them. Web subscriptions are cancelled when you delete your account; App Store and Google Play subscriptions have to be cancelled in the store.
We also keep what we're legally required to keep, such as billing records, and copies in our backups are overwritten on a regular cycle.
10. Children
Coparency is for adults. Children don't have accounts, and the Services are not directed to children under 13. We don't knowingly collect information directly from children. Information about children is entered by their parents (section 2.3). If you believe a child has given us information directly, contact us and we will delete it.
11. Security
- Information is encrypted in transit, and Google Cloud encrypts it at rest.
- Every request is checked against the family space it belongs to, so one family can't reach another's data.
- Photos and files are private and are served only through links that expire.
- Sent messages can't be edited or deleted, by users or through our app.
- Staff access is limited to what's needed to support and secure the Services.
No system is perfectly secure. If a breach affects your information, we will tell you as the law requires.
12. Your rights and choices
- See and correct your information in the app, or ask us for a copy.
- Export your messages, calendar and expenses as PDFs, or expenses as a spreadsheet, from the app.
- Delete your account in the app (section 9).
- Notifications: choose which kinds of notification you get.
- Location: allow or refuse it in your phone's settings, and keep any exchange record private.
- Peacekeeper: turn off harmful-content protection and weekly reflections.
- Marketing emails: unsubscribe using the link in any of them.
- Cookies: decline analytics and advertising cookies on our website.
Depending on where you live, you may have further rights, such as to know what we collect, to have it deleted or corrected, or to opt out of “sharing” for advertising. To use any of them, email support@coparency.com. We will confirm your identity before acting, respond within the time the law requires, and won't treat you differently for asking. If we decline a request, you can reply to ask us to reconsider.
13. Where your information is stored
Coparency's data is stored in the United States, in Google Cloud's us-central1 region. If you use the Services from outside the US, your information is transferred to and processed in the US.
14. Changes to this policy
When we change this policy, we update the date at the top. If a change materially affects how we use information you've already given us, we'll tell you in the app or by email before it takes effect.
